Please review the following terms carefully. This document outlines the scope of our services, fees, responsibilities, and other important policies related to working with Travel & Cruise Desk.

We're excited to work with you on your travel plans. This page outlines our travel services agreement. Here, we describe what we will do for you and explain your responsibilities as our clients.

In this agreement, "we," "us," and "our" refer to Julie's Travel Desk, LLC, doing business as Travel & Cruise Desk. "You" and "your" refer to the individuals we book travel services for, as well as all others on whose behalf you are acting and for whom you are confirming that you have the authority to bind them to the terms of this agreement. By continuing to work with us after this link was shared, you acknowledge that you have read and agree to the terms outlined below.

1. Our Services

As your travel advisor, we will do the following for you:

  • Consult with you about your trip, asking questions about where you want to go, when you want to travel, what you want to do, how much you want to spend, and other important factors.
  • Research and offer you a variety of options that fit your travel wishes and budget.
  • Book the trip components on your behalf and confirm the arrangements with you.
  • Answer your questions about the trip and help you communicate with the suppliers operating your trip if problems arise.

You acknowledge that our role is that of advisors and consultants. You will make the final decisions about your travel dates, trip components, and payments.

2. Fees

Professional Planning Fee. In order to perform the professional services required to plan and manage your trip to the high standards our clients are accustomed to, we do charge a nonrefundable BEYOND Planning & Service Program fee at the start of our planning process. We will provide you with an initial consultation with an advisor to discuss your travel ideas and see how we can help, typically 15 to 20 minutes.

After the initial consultation and depending on the experience you're looking to book or the size of your group, we may require a planning fee of between $25 and $250+ per person, based on the complexity and timing of your trip. This allows your advisor to prioritize your journey, dedicate the time needed to craft a truly customized itinerary, and provide the exceptional service you deserve.

If you ultimately decide to book your trip without us or choose not to go, you agree that we will retain this payment in order to compensate us for the efforts we have made on your behalf.

Other Fees. Travel & Cruise Desk may also charge fees for various services including, but not limited to, airline ticketing fees, change and reissue fees, visa assistance, and miscellaneous reservations. While the service fee we charge for booking airline tickets is between $50 and $100, we do have access to contracted and negotiated fares that may be lower than published fares, especially for international and business or first-class air.

This fee is processed in order to cover the additional time it takes to research contracted and published airfare and then manage reservations from the time of booking through travel. A full schedule of airline ticketing and other fees is available upon request. If you have special requests above and beyond the items outlined here, we will assist you if we are able; however, such assistance may require additional fees.

We will send your travel documents electronically whenever possible. If you request these documents as hard copies, we reserve the right to charge a service fee for those hard copies.

All payments must be made by cash, check, or credit card. For credit card payments, we may require a form signed by you and each guest that pays us directly showing the amount to be charged, the full name as it appears on the card, and the billing address.

3. Deposits, Payments & Price Changes

Once you have made final decisions about your travel plans and submitted any required deposits, we will confirm your reservation and begin booking any other components for your trip. You are solely responsible for making all required payments for your trip on time and in full. If you do not make the required deposit, we will not make any reservations.

If you do not make the remaining payments, including the final payment, on time, your travel arrangements will be canceled, you will forfeit any payments made earlier, and you may be denied access to the booked travel services. In such an event, we will not be responsible in any way for lost deposits, incurred expenses or fees, or other lost monies.

Suppliers may impose supplemental price increases after we book your travel plans, including additional governmental taxes and fees, fuel surcharges, or currency market fluctuations. We will notify you if this happens once the suppliers have contacted us, and you will be responsible for paying these post-booking price changes, which may be added to the final payment due.

You are responsible for reviewing invoices, confirmations, and all travel documents promptly and advising us immediately of any discrepancies.

4. Cancellations, Changes & Refunds

If you wish to cancel your trip, you must notify us in writing. If we do not receive this written notice and any applicable cancellation penalties are not paid, the booking will not be considered canceled and may be subject to additional penalties until all required paperwork is received in its entirety.

In addition to fees charged by travel providers, once trip components are confirmed and payments have been processed, our cancel/change fee is $100 per person. Fees may be covered by insurance.

Cancellation penalties and change fees are determined by the airlines, hotels, tour operators, cruise lines, and other suppliers involved in your travel arrangements. Refunds, when available, are subject to supplier rules and processing timelines. Some rates, tickets, and deposits are fully nonrefundable. You are responsible for understanding the cancellation terms associated with the options you choose.

The suppliers involved with your trip may have additional terms and conditions that may apply to your cancellation.

5. Chargebacks & Payment Authorization

We may require you to sign a charge authorization form in order to process credit card payments. Your signed charge authorization is a binding agreement for charging your card, and as such you waive any right to a chargeback in the case of trip delays, changes, or cancellations for any cause, excepting fraud, including a force majeure event, and you agree to refund policies and procedures as outlined in the terms and conditions of the suppliers operating components of your trip.

In the event that you attempt without our authorization to charge back, reverse, or recollect a trip payment already made, we reserve the right to collect all additional costs, fees, and expenses associated with such a chargeback, reversal, or recollection including, without limitation, attorney fees.

6. Travel Documents, Entry Requirements & Insurance

You are responsible for obtaining and carrying the proper travel documents, including passports, visas, vaccination records, and other entry documentation required by the destinations, transit points, and suppliers involved in your trip. Many countries require passports to be valid for six months beyond your return date.

It is also your responsibility to review destination-specific advisories, health information, and supplier documentation before departure. While we may help point you to reliable resources, the final responsibility remains yours.

We strongly encourage you to consider travel protection at the time of initial planning, especially if you want to preserve eligibility for time-sensitive benefits such as certain pre-existing condition waivers. More information is available on our Travel Insurance & Protection page.

7. Supplier Responsibility & Limitations

We reserve the right to make substitutions or modifications to carriers, hotels, departure dates, return dates, departure cities, or destinations if necessary due to reasons beyond our control. In these situations, we will notify you as soon as possible, and we will work with the travel suppliers involved in your trip to substitute comparable or better services, with the understanding that our efforts on your behalf will waive any additional remedies.

We act as an intermediary between you and the airlines, hotels, cruise lines, tour operators, transportation providers, and other suppliers that deliver your travel services. We do not own, operate, manage, or control those suppliers and therefore cannot be held responsible for their acts or omissions.

This includes, without limitation, delays, schedule changes, cancellations, overbookings, labor disputes, accidents, political or weather disruptions, service failures, financial default, or any other matter outside of our direct control.

8. Communication & Privacy

By working with us, you consent to receiving communications related to your trip by email, phone, and text when appropriate. You agree to provide accurate contact information and to monitor those channels during the planning process and while traveling.

9. Acceptance

By continuing to work with Travel & Cruise Desk after receiving access to this page, you confirm that you have read, understand, and accept these terms and conditions on behalf of yourself and all travelers included in your arrangements.

This page is intended to present our current working terms in a clearer, print-friendly format. If your agency agreement, supplier documents, or invoice-specific terms provide additional details, those trip-specific documents also apply.
