How To Plan A Destination Wedding

Most couples who come to us are already in the early stages of planning a destination wedding. With a general destination in mind, mood board built, excitement high. What they’re usually missing is the full picture of what they’re actually taking on. And the earlier that picture becomes clear, the better the whole experience tends to go!


I had my own Destination Wedding in Cancun a few years ago and what I didn’t fully anticipate (even as someone working in travel) was how many layers existed beyond the venue and the flowers.

The Legal Requirements Most Destination Wedding Couples Miss

Every country has different rules for a legally recognized marriage abroad. Some require an apostille. Some require a civil ceremony back home first. Some have residency minimums that affect your timeline considerably. None of this is a reason to be deterred, but it is exactly the kind of thing that catches couples off guard when they discover it too late. An Advisor who has worked in or researched your destination before has already navigated this and can walk you through what’s needed before you’ve committed to a region and come up with some alternative ways to go about things as needed.

Majority of the time, it is easier to take care of the legalities (aka have a legal ceremony in the US - typically at a courthouse or with a licensed Officiant) at home before or after your Destination Wedding, and have your Destination ceremony be “symbolic”. This also can be a great way to still include guests or family members who won’t be able to make the trip (like elderly grandparents, etc.) in the festivities.

Why Destination Wedding Coordination Is More Layered Than It Looks

A Destination Wedding isn’t just a ceremony somewhere beautiful, it’s a logistics project. The local wedding coordinator handles the actual event details and makes sure that all runs smoothly. But someone has to handle the travel layer: flights for 20, 50, or 100 guests, group rate negotiations, room block contracts, airport transfers, rooming list deadlines and drop dates, and the scrambles that happen when something goes sideways. That piece should not have to be you! By taking those pieces from your plate, and having someone to direct all of your guests questions to (me!), you can focus on the fun stuff and relax knowing all is being handled.

For example: When someone’s flight is delayed and their transfer needs to be rescheduled, but you’re already at the Resort enjoying the pool away from your phone (as you should be) - you have a whole team in your corner to support your guests.

How Far in Advance Should You Start Planning?

Popular Destination Wedding venues book 12 to 18 months out for peak dates. Your guests also need some time to plan international travel, sort passports, budget for their travels, etc. so the earlier the process starts, the more options typically available for venue, dates, and guest experience!

What I tell couples now is what I wish someone had told me when I was in the thick of planning mine: the complexity doesn't go away, but it can become someone else's responsibility! And when it does, you get to experience the whole thing the way it was meant to be experienced. Not as the person managing a hundred moving parts, but as the person getting married excited to celebrate with all of your closest friends and family in a beautiful location!
